    If you’re running your own business or even working for someone else, this post will help you immensely! One of the most common bullshit I hear all the time is “I don’t have time”… Solution to that? GIVE IT TO SOMEONE ELSE to do it! Especially the things that you hate/dislike/do-not-like doing! When we do things that we do not love, we lose energy, feel drain, lose focus and take lots longer! So the best way is to delegate to people that can do it for you cheaper, faster and what they’re great at. Your task is to get out of the way and let things flow! So I’m listing some of the sites I personally use.. then other sites that I have never used but it is in my resource toolbox. P.S.     A few days ago, I hung out with one of the my coaching friends and she said, .. “Why don’t you make it a theme for the year, and of course you can change it anytime you want, if you want to.”

    So here is my simple and short challenge for you..

    It has been nearly a year since I last wrote a blog post.

    Last week I posted an image on my Facebook wall of how I tracked my productivity using the computer.  Many have asked to know more about it, including the tools that I personally use, as well as those which I find helpful in improving my day to day productivity dramatically.

    So I decided to write a blog post with the top 7 online productivity tools that I personally use day to day.
    These are not shown in the effective order.  I’m just putting out there for you to see!

    After trying all sorts of online schedule sites such as:  TimeTrade, Appointy, BookFresh, vCita, BookedIN and MANY MORE, I still recommend ScheduleOnce based on these criteria:

    1. Great price
    2. Clean interface
    3. And most importantly, it must be able to sync to multiple calendars via gmail.

    (P.S. to be fair, vCita is at par with ScheduleOnce, with the exception that it is a little more expensive – I’m testing both tools as we speak)

    3. TeamworkPM

    Project Management Made Easy

    In the past 18 months, I have tried way too many Project Management platforms out there such as: Smartsheet, Mavenlink, Basecamp, Wrike, Trello, Asana, activeCollab, Podio, 5pmWeb, zoho, gantter, AffinityLive, WorkETC, Apptivo and Blue Camroo in order to find the best and the most suitable one for my Facebook Marketing & Training business at Kaboom Training.  Now it will be unfair for the developers above if I don’t state what I was looking for:

    • Task Management (duh!)
    • Sub Tasks
    • Connect with Google App
    • Great price for 3 staff (or more)
    • Gantt Chart
    • Milestone
    • File management with an easy to map it with Google Drive or Dropbox.
    • Message area/Communication Newsfeed style to see who did/comment about what.  (think of Facebook)
    • Email reminder
    • Ability to assign to a certain person or MULTIPLE persons
    • Ability to save tasks as a template and easily duplicate/copy it for recurring projects
    • Set recurring task such as everyday tasks, weekly tasks, monthly tasks
    • User management – control who can see what projects etc.
    • Most importantly, it must be a LIVE collaboration! If there’s a change, It must show up or notify the user straight away.

    I am a creator type and I have many hands-on clients. Therefore, I need to find a project management software that I can put task lists to as well as able to delegate all my staff in one place. TeamworkPM is pretty amazing! You can do advanced functionality, such as recurring tasks, email reminder, assign to certain member, Gantt Chart (woohoo) and many more!

    I just started using this software around 3 weeks ago and on a subconscious level, I have been improving nearly 10% on my productivity. Kudos to myself 😀
    It is a really neat software, that runs in the background by collecting the activities, programs, and websites that you open on your PC, and translates your overall activity to a beautiful graph.

    Edited: I just realized they do have Android & IOS version too! Rescuetime is now tracking the time I spend playing games or reading Manga on my phone and my productivity dropped by 6%…. boo!

    5. Odesk

    I have spent $8061 in the last 2 years for 1469 hours (61 days and 2 hours) of work that I didn’t have to do myself..that translates to $5.49 per hour. I had all ranges of people which includes my awesome project manager, who hires and fires people to get the job done. Some that I have hired in the last two years were graphic guys, virtual assistants, web guys, accountants, bookkeepers, social media people, an English teacher (yes, i did hire one for myself), IT related advisers, and many more!

    Getresponse ROCKS! This is where I collect people, contact  (CRM) details, and can easily send them valuable contents,  offers, newsletter, updates, freebies, and things they can immediately use for their lives.

    I personally believe it is a much better product than Mailchimp, although just slightly better than Aweber.

    7. Streak (required Gmail)

    I am currently using Streak to do sales pipeline, but it can be tweaked in many ways how you like it.  The two best things about Streak are:

    1. It is in my Gmail! I don’t need to open up another software for it.
    2. I can share the info live/collaboratively with my team!.

    Currently, I have around 40 something software/tools, both online and installed on my machine and mobile phone.
